About the Role We are seeking a highly organised, proactive, and trustworthy Personal Secretary to support the CEO across multiple fast-growing companies. The role demands exceptional coordination skills, fast decision-making ability, and the confidence to manage complex schedules, confidential information, and high-stake business activities. This is not a routine administrative role — you will act as the CEO’s right hand, ensuring smooth execution of business, personal, and operational priorities on a daily basis. Key Responsibilities1. Executive Support Manage and optimise the CEO’s calendar, meetings, travel plans, and day-to-day schedule. Coordinate cross-company communication, follow-ups, and execution of critical tasks. Prepare briefing notes, summaries, and documentation before meetings. Screen, prioritise, and respond to calls, emails, and messages on behalf of the CEO. 2. Operations & Coordination Liaise with internal teams across 10+ companies to ensure timely completion of deliverables. Track all active projects, send reminders, and ensure deadlines are met. Prepare MIS reports, basic financial summaries, and business updates for the CEO. 3. Communication & Documentation Draft emails, proposals, letters, and official communication. Maintain accurate filing systems—digital and physical. Handle sensitive documents such as agreements, financial statements, and legal papers with confidentiality. 4. Personal Assistance Manage personal tasks, appointments, and travel as required. Coordinate with vendors, service providers, and external partners. Ensure smooth handling of personal and professional commitments. 5. Confidentiality & Discretion Manage confidential information with the highest level of integrity. Ensure secure communication between teams, partners, and clients. Requirements Bachelor’s degree preferred, but skill and performance outweigh qualifications. Minimum 1–3 years of experience in executive assistance, administration, or coordination roles. Excellent command of English communication—written and verbal. Proficiency in email, calendar tools, MS Office/Google Workspace. Highly organised, punctual, and detail-oriented. Ability to handle pressure, tight deadlines, and rapidly changing priorities. Must be reliable, committed, and trustworthy. Preferred Qualities Strong follow-up mentality. Ability to think independently and solve problems before they reach the CEO. Presentable and professional communication style. High sense of ownership. Willingness to travel when required. Compensation Competitive salary based on experience + performance incentives.
