Job Description

As the Personal Assistant to the Director, you will be the primary point of contact for internal and external matters related to the Director. Your role is crucial and requires a highly organized, proactive, and discreet approach to handle various administrative and executive support tasks efficiently. Your main responsibilities include: - **Administrative & Calendar Management**: - Manage the Director's daily schedule, including meetings, appointments, and travel arrangements. - Coordinate detailed domestic and international travel logistics, prepare itineraries, and manage expense reports. - Act as the communication hub, filtering and responding to incoming emails, calls, and mail appropriately. - Prepare meeting agendas, presentations, materials, and minutes. - **Operational Support & Coordination**: - Assist with specific projects, research, data compilation, and report preparation related to jewellery manufacturing and sales. - Maintain an organized filing system for confidential documents and facilitate communication between departments and external stakeholders. - Support in planning and executing company events, trade shows, or client hospitality events. - **Confidentiality & Discretion**: - Handle sensitive information with the highest degree of confidentiality, recognizing the critical nature of intellectual property within the jewellery industry. **Required Skills & Qualifications**: - **Experience**: 3+ years as a Personal Assistant or Executive Assistant supporting C-suite level executives, preferably in luxury goods, retail, or manufacturing. - **Organizational Prowess**: Exceptional organizational skills with attention to detail and the ability to multitask effectively. - **Communication Skills**: Excellent written and verbal communication skills in English, with a professional demeanor. - **Technical Proficiency**: Strong proficiency in Microsoft Office Suite and experience with CRM or project management tools is a plus. - **Problem-Solving**: Proactive problem-solving approach with the ability to foresee needs and act independently. - **Discretion & Trustworthiness**: High integrity and professional discretion are essential for this role. - **Industry Knowledge (Advantageous)**: Basic understanding of the jewellery industry would be beneficial. This is a full-time job requiring your presence in person at the work location.,
