Job Description

As an integral part of the Office of the Vice Chancellor, you will play a crucial role in providing high-level administrative, secretarial, and organizational support to the Vice Chancellor. Your primary responsibility will be to ensure the smooth operation of the VC's office, allowing the VC to focus on strategic and leadership duties. Your day-to-day tasks will involve managing the VC's schedule, including appointments, meetings, and travel arrangements. You will handle confidential correspondence, emails, and phone calls on behalf of the VC. Moreover, drafting, formatting, and proofreading various documents will be part of your routine tasks. Keeping organized records and filing systems, both physical and digital, will also fall under your purview. In terms of meeting coordination, you will be responsible for organizing internal and external meetings. This includes preparing agendas, minutes, and necessary documentation. You will also liaise with academic and administrative departments to coordinate the VC's engagements and follow up on action items and decisions from these meetings. Acting as the primary point of contact between the VC and university stakeholders, including staff, faculty, students, governing bodies, and external agencies, will be a critical aspect of your role. Handling sensitive and confidential matters with discretion and professionalism is of utmost importance. Event and travel management will be another key area of focus, where you will plan and coordinate the VC's participation in university events, conferences, and official functions. This will involve arranging logistics for domestic and international travel, such as tickets, visas, accommodation, and itineraries. Office management duties will require you to ensure the VC's office is well-organized and runs efficiently. You may also be tasked with supervising junior clerical staff assigned to the VC's office. Furthermore, you may be involved in special assignments, assisting in the preparation of reports, speeches, and strategic documents, as well as supporting the implementation and tracking of key projects and initiatives under the VC's leadership. To excel in this role, you should possess excellent written and verbal communication skills, strong organizational and time management abilities, and a high level of discretion, integrity, and professionalism. Proficiency in MS Office applications and the ability to multitask and work under pressure are essential. Attention to detail and accuracy are also key attributes for success in this position. Ideally, you should hold a Bachelor's degree, preferably in Administration, Management, English, or related fields, and have a minimum of 3-5 years of experience in a similar executive assistant or administrative role. Prior experience in an academic or educational institution would be advantageous. This is a full-time, permanent position with benefits such as health insurance and provident fund. The work location is in person in Indore, Madhya Pradesh. A reliable commute or willingness to relocate before starting work is preferred. Personal assistant experience of at least 1 year is desirable, and proficiency in English is preferred.,
