Job Summary:

We are seeking an experienced Accounting & Payroll Specialist to manage end-to-end U.S. & India payroll and invoicing operations for W2, 1099, and C2C employees. The ideal candidate will work onsite in Chandigarh and must have hands-on experience using Intuit QuickBooks and other payroll platforms, with deep knowledge of federal and state payroll compliance. You will be responsible for processing weekly, bi-weekly, and monthly payroll cycles, per-diem, managing invoicing, tax filing, and collaborating across departments.

Key Responsibilities:

Process weekly, bi-weekly, and monthly payroll for W2, 1099, and C2C employees using Intuit QuickBooks and other tools.

Collect timesheets from the HR Department, validate hours, and ensure accurate payroll processing.

Reconcile payroll records and assist with monthly and quarterly financial reporting.

Collaborate with the HR and Finance teams to maintain accurate and up-to-date payroll documentation.

Generate and send timely invoices to clients; follow up regularly for prompt collections.

Manage vendor payments and maintain current accounts receivable and payable records.

Apply for and manage state-specific tax account numbers.

Collaborate with a CPA to file and deposit taxes with the IRS and state authorities within compliance timelines.

Ensure compliance with federal and state payroll laws, including FUTA, SUTA, and employer-related tax filings.

Required Skills & Qualifications:

Bachelor’s degree in Accounting, Finance, or a related field.

3 to 5 years of experience in U.S. & India payroll management.

Must Haves:

Proficiency in Intuit QuickBooks and other payroll software.

In-depth knowledge of W2, 1099, and C2C payroll formats and U.S. and India tax laws.

Experience applying for and managing multi-state tax IDs and filing with IRS/state agencies.

Good knowledge on US Tax process, handling tax queries, 941, 940, W2 & State filings in special cases and interaction with IRS, state & local offices on behalf of the client.

Preferred Qualifications:

Experience working with staffing or consulting firms (preferred but not mandatory).

Familiarity with ADP, Gusto, or Paychex platforms is a plus.
