Payroll Specialist

Title:

Overview

We are seeking an experienced Payroll Specialist to manage end-to-end payroll for the United States and Canada. The role requires strong knowledge of multi-state and provincial payroll laws, statutory deductions, wage caps, employer contributions, and compliance reporting.

Key Responsibilities

• Process weekly and bi-weekly payroll for US W2 and Canadian employees/contractors.
• Manage multi-state payroll including SUI, FUTA, workers comp, wage garnishments, and state/local taxes.
• Process Canadian payroll including CPP, EI, EHT, WSIB/WCB, and provincial taxes.
• Validate timesheets, hours approvals, overtime calculations, shift premiums, and statutory holiday pay.
• Coordinate with Finance, HR, and Business Teams on payroll cut-offs, funding, and pay accuracy.
• Ensure compliance with US DOL, IRS, CRA, ESA, provincial legislations, and employment standards.
• Prepare payroll reconciliations, audit trails, and month-end reports.
• Manage ADP, Payworks, or other payroll systems; support integrations (NetSuite, JobDiva, etc.).
• Respond to employee payroll queries with accuracy and speed.

Required Skills

• 3–6+ years of experience in US & Canada payroll.
• Expertise in statutory taxes, wage bases, garnishments, and employer contributions.
• Strong Excel skills (VLOOKUP, Pivot, nested formulas).
• Experience with ADP Workforce Now, ADP Run, Payworks, or similar.
• Strong attention to detail and ability to work in fast-paced environments
