Job Overview: Pearce Services is seeking a detail-oriented and proactive Operations Assistant to support the management of wireless and wireline sites, primarily focusing on mobility sites for telecom customers. The ideal candidate will be responsible for handling various operational tasks related to invoicing, purchase orders, and quality control. Key Responsibilities: Invoice Management: Review incoming emails containing rejected invoices from customers, identifying and categorizing reasons for rejection (e.g., pricing discrepancies, missing information). Documentation and Communication: Track all actions and communications regarding rejected invoices, providing regular updates to management. Customer Communication: Handle communications related to customer inquiries, requests, and updates within email opportunities. Work Review: Analyze technician work by reviewing labor details (e.g., drive time and onsite time) and verifying parts used at wireless and wireline sites. Billing Support: Prepare Excel workbooks for the billing of wireline jobs by tracking invoices. Web Application Utilization: Utilize web-based applications to streamline data collection for inventory and maintenance activities at mobility sites. Quality Control: Develop and maintain detailed QC checklists and procedures for battery replacements. Purchase Order Management: Review and verify purchase orders in web-based portals, ensuring accuracy in pricing, quantities, and terms, and maintaining clear records of assigned orders. Compliance: Ensure compliance with company policies and procedures during purchase order assignments. Required Skills and Qualifications: Strong Communication Skills: Ability to effectively communicate with internal teams, customers, and stakeholders. Proficiency in MS Excel: Basic knowledge of Excel for data management and report creation. Analytical Ability: Ability to analyze data and make informed decisions based on operational needs. Detail-Oriented: Strong focus on accuracy and consistency in all tasks. Problem-Solving Skills: Ability to quickly identify and address issues related to invoices, orders, and customer communications.
