Job Description

As an Operations Analyst at our company, you will play a crucial role in supporting the day-to-day execution of financial, system, and reporting operations within the Professional Services organization. Reporting directly to the Operations Manager, you will collaborate closely with cross-functional teams such as Finance, Support, Engineering, and IT to ensure data accuracy, efficient system usage, and consistent reporting for business operations. Key Responsibilities: - Collaborate with Professional Services teams, Support, Engineering, and Finance to enhance operational efficiency and execution. - Manage engineering time entry and updates in the Kantata system across multiple groups to ensure accuracy for financial reporting. - Assist with month-end reporting tasks, including time entry adjustments, data clean-up, extract generation, and coordination with Finance. - Maintain Jira intake boards by tracking tickets, providing updates, and routing requests to relevant stakeholders. - Create and configure projects in Kantata, ensuring accurate capture and maintenance of all project details. - Process time entry corrections to maintain precise financial and operational data. - Administer user access and troubleshoot issues in key tools such as Kantata, Jira, Google Drive, SmartSheets, Slack, and Guru. - Collaborate with IT and external vendors to resolve system issues and manage support tickets. - Conduct data integrity checks and monthly completeness audits across reporting systems. - Provide input into workflow documentation and contribute to enhancing operational procedures through feedback and continuous iteration. Qualifications Required: - Minimum of 2 years of experience in operations, project coordination, or system administration. - Familiarity with time tracking, invoicing, or financial reconciliation is advantageous. - Knowledge of tools like Kantata (or similar PSA tool), Jira, Google Sheets, and SmartSheets is a plus. - Strong organizational and analytical skills with keen attention to detail. - Proactive self-starter capable of working independently and managing multiple priorities effectively. - Comfortable communicating with different departments and technical/non-technical stakeholders.
