Office Support Executive in Bangalore

Key Responsibilities

• Project management support:
• Assist the project team with day-to-day site and office coordination.
• Update project status logs, schedules, and trackers as instructed.
• Support project documentation, printing, filing, and safe storage of records.
• Project coordination:
• Coordinate with team members, vendors, subcontractors, and office staff for timely delivery and execution.
• Follow up on assigned tasks to ensure deadlines are met.
• Assist during site visits, material movement, and miscellaneous coordination tasks.
• Attendance & Daily Reporting
• Collect attendance from site/workforce on a daily basis and update the centralized attendance sheet.
• Maintain a daily site work log and report the status to the project lead.
• Project accounts support:
• Submit bills, invoices, and supporting documents to the accounts team for verification.
• Maintain soft and hard copies of all project expense documents.
• Track payments made and pending amounts for each project and share weekly updates.
• Payment approvals & follow-ups:
• Assist in preparing payment approval summaries for subcontractor/vendor payments.
• Ensure timely collection of approvals/signatures from authorized personnel.
• Follow up with accounts and vendors for payment status when instructed.
• Additional general responsibilities:
• Maintain the cleanliness and organization of the office/project cabins.
• Support office errands, document collection, courier handling, and procurement of small items.
• Uphold company discipline, confidentiality, and professionalism at all times.
