Job Description

Roles & Responsibilities

  • Manage the online filing staff at the Chennai office and the operations supervisor to stay on top of day-to-day filing and clearance operations.
  • Work closely with the senior executives and company partners to solve major bottlenecks in the overall company processes, and cross-functional teams such as Finance, Operations, and Administration on day-to-day EXIM issues as necessary.
  • Supervise documentation and requirements w.r.t warehousing, bonding, de-bonding, SEZ clearance, high sea sales, transhipment, etc.
  • Handle special issues such as re-exports to origin, short shipments, document mismatch, repair-and-return, R&D declaration, excess quantity, reduced shelf life, PGA query, etc.
  • Ensure timely and accurate filing of all customs documents by filing staff; import BOEs for Home Consumption, Warehouse and Ex-bond, and Shipping Bills for export.
  • Monitor clearance progress regularly and ensure there are no delays in customs workflows.
  • Resolve customs queries, reassessments, or document-mismatch issues proactively. Ensure HS code accuracy and verify correct duty applicability for all shipments.
  • Coordinate with clients in resolving show-cause notices (SCNs) and post-clearance audits from customs authorities.
  • Assist the team with CBIC, DGFT, CDSCO, BIS, and other PGAs for license compliance, renewals, and documentation support.
  • Maintain ERP/ICEGATE/ECCS entries accurately and update tracking systems regularly.
  • Prepare and submit daily, weekly, and monthly clearance status reports to management.
  • Develop SOPs and enhance checklists to improve operational accuracy and compliance.
  • Handle escalation activities related to shipment delays, discrepancies, or compliance risks.
  • Work closely with clients to provide updates and resolve clearance challenges professionally.
  • Monitor government notifications, customs circulars, and policy updates relevant to clearance operations.
  • Conduct quarterly compliance audits to identify gaps and ensure corrective actions are implemented.
  • Implement cost-saving initiatives without affecting compliance or operational performance.
  • Ensure timely removal of bonded cargo and management of bond register requirements.
  • Support the business development team with accurate compliance guidance for customer quotes.
  • Ensure seamless coordination for domestic last-mile delivery, warehouse intake, and transport planning.
  • Develop and maintain a clearance TAT (Turnaround Time) benchmark for performance monitoring.
  • Ensure assured delivery commitments (SLA-based) are met for key or contracted clients.

Qualifications:

  1. 8-10+ years of experience working at a CHA/customs brokerage firm.
  2. Qualified to possess a valid customs G-card/F-card.
  3. Graduate in any discipline (specialisation in supply chain management preferred)
