Job Description

  • A junior telephone operator handles incoming calls, answers customer inquiries, provides information, and redirects calls to the appropriate individuals or departments.
  • Key responsibilities include managing the switchboard, taking messages, maintaining records, ensuring caller satisfaction, and adhering to company protocols, often requiring strong communication skills, professionalism, and multitasking abilities. Key Responsibilities
  • Call Management: Answer, screen, and direct incoming calls to the correct personnel or departments.
  • Information Provision: Provide accurate information about products, services, or general company details to callers.
  • Customer Service: Handle customer inquiries, resolve basic issues, and maintain a positive and professional demeanor.
  • Message Taking: Accurately record and relay messages to others when direct contact is unavailable.
  • Record Keeping: Maintain and update customer or caller records as needed.
  • Switchboard Operations: Operate the switchboard efficiently to ensure fast and smooth transfer of calls.
  • Emergency Handling: Handle emergency calls according to established company protocols.
  • Basic Clerical Duties: Perform basic office tasks such as data entry or filing. Required Skills & Qualifications
  • Education: A high school diploma or equivalent is typically required.
  • Communication Skills: Strong verbal communication and listening skills are essential for professional interactions.
  • Interpersonal Skills: Patience, courtesy, and empathy are important for handling callers effectively.
  • Technical Skills: Comfort with using telephone systems, office equipment, and computer systems is necessary.
  • Multitasking: The ability to handle multiple calls and tasks simultaneously and prioritize appropriately.
  • Professionalism: A professional demeanor and appearance are expected.
  • Organizational Skills: Ability to maintain call logs and keep track of information.
