1. Documentation Management
Prepare and issue Bills of Lading accurately based on shipping instructions, invoices, and packing lists.
Verify all shipping documents for accuracy and compliance with customer, carrier, and regulatory requirements.
Coordinate the creation of supporting documents like commercial invoices, packing lists, certificates of origin, etc.
2. Coordination with Internal and External Stakeholders
Liaise with freight forwarders, shipping lines, and transport companies for timely shipment bookings and B/L issuance.
Communicate with internal departments (e.g., Sales, Logistics, Export/Import, Finance) to gather information and resolve discrepancies.
Act as a point of contact for clients/customers regarding B/L status and document delivery.
3. Compliance and Accuracy
Ensure that documents meet all international trade regulations, including Incoterms, customs regulations, and carrier requirements.
Perform quality checks to prevent document errors that can cause shipment delays or penalties.
4. System & Data Management
Use ERP or logistics software to input shipment data and generate reports.
Maintain a digital and physical filing system for easy retrieval of shipping documents.
Update shipment status in tracking systems and notify stakeholders accordingly.
5. Problem Resolution
Investigate and resolve issues related to incorrect or missing B/L information.
Handle discrepancies with shipping lines, agents, or customs brokers.
Facilitate amendments or cancellations of B/Ls when necessary.
