Role & responsibilities 1. Onboarding and Documentation Coordinate end-to-end onboarding process for new hires. Ensure timely collection, verification, and filing of employee documents. Facilitate orientation sessions and support new joiners in their settling-in phase. Maintain onboarding trackers and checklists. 2. Background Verification (BGV) Liaise with third-party vendors to initiate and complete background checks. Track BGV status and escalate delays. Ensure completion of BGV documentation before confirmation timelines. 3. HRMS Data Management Enter, update, and audit employee data in the HRMS system. Maintain accurate employee records (personal, professional, statutory). Generate and validate system reports to ensure data accuracy. Must have hands-on experience with any HRMS application (e.g., Workday, Darwinbox, Keka, SAP SuccessFactors, etc.). 4. Reporting & Analysis Prepare HR reports including headcount, attrition, onboarding status, confirmation due, and HRIS updates. Support in HR metrics and dashboard creation as required. 5. Employee Interaction and Feedback Connect with new hires periodically during their initial months to collect feedback and address concerns. Escalate any issues or special requests to relevant stakeholders. 6. Employee Confirmation Process Track upcoming confirmation due dates. Follow up with managers to ensure timely completion of probation assessments. Issue confirmation letters to employees post-approval. 7. Employee Engagement and Events Assist in planning and executing employee engagement initiatives. Help organize internal events, celebrations, and wellness activities. Collect feedback and suggest improvement ideas for better participation. 8. Separation Process Coordinate end-to-end offboarding activities for exiting employees. Ensure smooth completion of resignation formalities, including documentation and clearance. Schedule and conduct exit interviews; compile and report insights to HR leadership. Update HRMS and maintain accurate exit records. Coordinate with IT/Admin/Finance to ensure proper handover and asset recovery. Preferred candidate profile We are seeking a proactive and detail-oriented HR Executive with 1 to 4 years of experience to support key HR operations. This role demands a hands-on individual who can manage employee onboarding, data management, engagement initiatives, separation handling, and support in day-to-day HR functions. The ideal candidate will bring a positive attitude, strong coordination skills, and a passion for creating a seamless employee experience. Prior experience with any HRMS application is essential. Skill Stack Required Technical Skills Good experience in using HRMS platforms Proficient in MS Excel (VLOOKUP, Pivot Tables, Basic Analysis). Comfortable with reporting tools and HR dashboards. Familiarity with onboarding, background verification, and separation protocols. Soft Skills Excellent verbal and written communication. Strong attention to detail and organizational skills. Ability to multitask and prioritize under minimal supervision. Empathetic and employee-friendly approach. Good interpersonal skills for cross-functional collaboration. Qualifications Bachelors degree in Human Resources, Business Administration, or related field.
