Role Overview

The HR Specialist – Payroll, Compliance, Policies & Structures is responsible for ensuring accurate payroll processing, statutory compliance, HR policy development, and maintaining organizational structures. This role plays a key part in aligning HR practices with labor laws, internal governance, and organizational goals.

Key Responsibilities

Payroll Management

  • Manage end-to-end payroll processing on a monthly basis.
  • Validate attendance, leave, overtime, and variable pay components.
  • Ensure accurate salary disbursement, reimbursements, and deductions.
  • Handle full & final settlements for exiting employees.
  • Coordinate with Finance for salary disbursement and statutory payments.

Statutory Compliance

  • Ensure timely filing and compliance with all statutory requirements (PF, ESIC, PT, LWF, Gratuity, Shops & Establishments Act, Minimum Wages Act, etc.).
  • Maintain updated knowledge of labor laws and government notifications.
  • Coordinate with external auditors/inspectors for compliance checks.
  • Prepare and maintain compliance-related reports and documentation.

HR Policies & Procedures

  • Draft, review, and update HR policies in alignment with legal requirements and organizational needs.
  • Implement policies related to leave, attendance, code of conduct, disciplinary action, etc.
  • Ensure consistent communication and awareness of policies across the organization.
  • Benchmark HR policies with industry standards and best practices.

Organization Structures & Processes

  • Maintain updated organizational charts, reporting structures, and job descriptions.
  • Support workforce planning, manpower budgeting, and role structuring.
  • Work with management on salary structures, CTC breakups, and grade frameworks.
  • Assist in aligning HR frameworks with business goals.

Key Skills & Competencies

  • Strong knowledge of payroll systems and labor laws.
  • Detail-oriented with high accuracy in handling numbers and compliance data.
  • Proficiency in MS Excel and HRMS/payroll software.
  • Good drafting and policy formulation skills.
  • Ability to manage audits and statutory inspections.
  • Strong communication and interpersonal skills.

Qualification & Experience

  • Graduate/Postgraduate in HR, Business Administration, or related field.
  • 9–12 years of experience in payroll, compliance, and HR policy management.
  • Hands-on experience with HRMS/payroll platforms preferred.
  • Exposure to HR audits and statutory compliance is a must.
