Job Summary: We are seeking an experienced Front Office Executive to join our team. The Front Office Executive responsible for managing the front desk and ensuring the efficient operation of the reception area. This role involves a wide range of administrative and customer service tasks, requiring a candidate with a strong background in front office operations. Key Responsibilities: 1.Front Desk Management: Greet and welcome visitors in a professional and courteous manner. Answer and direct incoming phone calls to the appropriate staff members. Maintain a clean and organized front desk area. 2.Visitor Assistance: Provide information to visitors and assist them in a helpful and informative manner. Ensure all visitor inquiries are addressed promptly and professio nally. 3.Appointment Scheduling: Schedule appointments and meetings for staff members. Keep an updated calendar of appointments and ensure timely reminders. 4.Administrative Support: Assist with various administrative tasks, including data entry, filing, and document management. Handle incoming and outgoing mail and packages. 5.Guest Services: Monitor and manage guest access to the premises. Coordinate guest access badges and maintain visitor logs. 6.Communication: Communicate with staff regarding visitor arrivals and appointments. Relay messages and information accurately. 7.Problem Solving: Address any issues or concerns from visitors or staff in a timely and effective manner. Find solutions to common front office challenges. Qualifications: Bachelor's degree or equivalent work experience. 5-6 years of experience in front office management or a related field. Proficient in Microsoft Office Suite (Word, Excel, Outlook). Excellent communication and interpersonal skills. Strong organizational and multitasking abilities. Attention to detail and a high degree of professionalism. Knowledge of office equipment and procedures. Customer service-oriented with a positive and welcoming attitude.
