Responsibilities of a Front Office Executive / Receptionist 1. Visitor Management o Welcoming and guiding visitors and clients o Managing visitor records and directing guests appropriately 2. Call Handling o Answering incoming calls professionally Taking messages and responding to basic inquiries o 3. Reception Area Management o Ensuring the front desk and lobby area are clean and well-organized Managing display materials and brochures o 4. Meeting and Conference Coordination o Preparing and arranging meeting rooms before and after meetings Coordinating refreshments and technical requirements when necessary o 5. Administrative Support o Supporting general administrative tasks and documentation 6. Internal Communication o Relaying messages between departments Distributing internal notices and announcements o 7. Access and Security Coordination o Coordinating with security for guest and visitor access 8. Hospitality Management o Offering refreshments to visitors and clients Coordinating pantry services for meetings and events o 9. Attendance Maintenance o Recording employee attendance (manual and digital) Submitting attendance reports to HR or concerned departments o Required Skills & Qualifications: o o Bachelors degree / Diploma in any field. 13 years of experience in front office, receptionist, or customer service roles. o o o o Excellent verbal and written communication skills. Proficiency in MS Office (Word, Excel, Outlook). Pleasant personality, professional grooming, and strong interpersonal skills. Ability to multitask and manage time efficiently.
