Job Description

As a Front Office Executive, your primary objective is to manage the front office efficiently and professionally, ensuring a positive first impression for all visitors, clients, and callers, and to provide comprehensive administrative support to various departments. Key Responsibilities: - Reception and Guest Management - Warmly greet and welcome guests, visitors, and clients as they arrive, setting a positive tone. - Direct visitors to the appropriate person or office and notify staff of their arrival. - Monitor and manage visitor logs, issue temporary passes, and ensure adherence to office security procedures. - Ensure the reception area, lobby, and main meeting rooms are tidy, presentable, and well-stocked with necessary materials. - Communication Management - Answer, screen, and forward incoming phone calls promptly and professionally. - Provide accurate basic information in person and via phone/email regarding the company, its services, and staff. - Receive, sort, and distribute daily mail, courier packages, and deliveries. - Coordinate outgoing mail and express shipments. - Administrative and Clerical Support - Update calendars and schedule/coordinate meetings, appointments, and conference room bookings. - Monitor and order front office supplies (stationery, kitchen supplies, etc.) and maintain an inventory of stock. - Perform general clerical duties such as filing, photocopying, scanning, data entry, and faxing. - Assist other administrative staff or departments with overflow work and projects as needed. Qualifications and Skills: - Bachelor's degree in Business Administration, Hospitality, or a related field is often preferred. - Proven work experience (1-3 years) as a Front Office Executive, Receptionist, or in a similar customer-facing role.
