Front Desk Representative

The Front Desk Representative at Reviva Clinic serves as the first point of contact for patients and visitors. This role is responsible for welcoming patients, managing appointments, handling inquiries, and ensuring a smooth and professional front-office experience. The representative also supports the clinic team by maintaining records, coordinating patient flow, and providing excellent customer service aligned with Reviva Clinic’s standards.

Key Responsibilities:

• Greet and welcome patients/visitors warmly as they arrive at the clinic.

• Manage patient check-in/check-out, registrations, and appointment scheduling.

• Answer phone calls, emails, and WhatsApp inquiries, and provide accurate information about clinic services.

• Guide patients about consultation, procedures, and billing processes.

• Coordinate with doctors, nurses, and other staff to ensure smooth patient flow.

• Maintain patient records and update clinic management software accurately.

• Handle payments, invoices, and receipts as per clinic protocols.

• Ensure the reception area is always neat, presentable, and patient-friendly.

• Address patient concerns and escalate issues to management when required.

• Uphold confidentiality and professionalism in all interactions.

Qualifications & Skills:

• Graduate / Diploma in Administration, Hospitality, or related field.

• Prior experience in healthcare/clinic front office (preferred but not mandatory).

• Excellent communication skills in English and Hindi (Punjabi is an advantage).

• Proficiency in MS Office and patient management software.

• Strong organizational skills and attention to detail.

• Professional appearance and a compassionate, patient-focused approach.
