Front Desk Manager

We are looking for a friendly, organized, and proactive Front Office Coordinator to be the first point of contact for students, parents, and visitors at our music institute. This role combines front desk operations with student relationship management and administrative support, ensuring smooth daily functioning and excellent customer experience. Key Responsibilities Greet and assist visitors, students, and parents, creating a welcoming atmosphere. Manage front desk operations: answering calls, responding to emails, and handling inquiries. Maintain accurate student records, schedules, and databases. Book rehearsal and performance spaces for teachers and students. Handle office administration: post, deliveries, supplies, notice boards, and signage. Provide administrative support to staff and students as needed. Record client interactions and maintain CRM updates. Assign emergency classes and follow up with clients. Support sales efforts by promoting music programs to prospective customers. Make calls to schedule demo sessions and follow up with customers regarding schedules or program updates. Ensure smooth communication between teachers, students, and parents. Requirements Excellent communication and interpersonal skills. Prior experience in front desk, customer service, or administrative roles. Ability to multitask, prioritize, and manage competing tasks efficiently. Highly personable, empathetic, and student/parent-focused approach. Strong organizational and record-keeping abilities. Basic computer skills; familiarity with CRM or scheduling software is a plus. Commitment to the safety, safeguarding, and welfare of students.
