Procurement & Facilities Officer

Job Summary

Procurement & Facilities Officer

Key Responsibilities

Travel Management

  • Booking and Logistics: Coordinate and book all domestic and international travel (flights, accommodations, ground transportation, visas) for employees and executives, ensuring compliance with company travel policy.
  • Policy & System Management: Act as the subject matter expert for the corporate Travel Management System for booking and expense tracking; train new employees on its use and enforce adherence to the travel policy.
  • Budget & Expense Control: Track, review, and process travel-related expense reports, ensuring accuracy, proper documentation, and compliance with budget limits.
  • Vendor Relations (Travel): Manage relationships with travel agencies, airlines, hotels, and car rental companies to negotiate corporate rates and ensure high service levels.
  • Duty of Care: Monitor travel advisories and coordinate with travelers during emergencies or disruptions (e.g., flight cancellations, security issues) to ensure traveler safety and provide 24/7 support coordination.

Required Qualifications and Skills

  • Experience: Minimum of 5-9 years of experience in a Corporate Administration, Office Management, or Procurement role with demonstrated experience in both corporate travel and vendor management.
  • This is a Senior Officer role reporting to the Manager .
  • Education: Bachelor's degree
  • Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and proven experience managing a dedicated Travel Management System and/or a Vendor Management System (VMS).
  • Organizational Skills: Exceptional organizational and time management skills with a strong attention to detail and ability to manage multiple priorities under pressure.
  • Communication: Excellent written and verbal communication skills, with the ability to negotiate and build positive relationships with internal stakeholders and external vendors.
  • Financial Acumen: Strong understanding of budgeting, expense tracking, and invoice processing.

Preferred Skills

  • Knowledge of global travel regulations and visa processes.
  • Abele to handle Vendors.
