Job Description

Role Overview: You will be responsible for handling the Executive cum Secretarial position, involving coordinating communication between Directors, clients, inter-departmental coordination, and handling all administrative tasks including supervising casual workers. Key Responsibilities: - Ability to understand and follow set systems and processes. - Ability to identify issues and offer resolutions and handle complex situations tactfully. - Maintain a pleasing, congenial, and approachable demeanor while dealing with internal & external customers. - Communicate with clarity and be technology-savvy to handle communication equipment. - Answer phone calls, operate EPBX, send faxes, and transfer calls to concerned parties. - Act as the first level contact to answer and resolve client queries/issues, channelizing to the concerned employee if unresolved. - Greet and ensure visitors are seated & treated well until a sales representative attends to them. - Maintain a register for walk-in customers, capture relevant information, and assist the sales team in scheduling follow-up appointments and meetings. - Support Admin and HR departments in organizing travel arrangements, conferences, meetings, and social functions as directed. - Collect and distribute parcels and other mail, maintain registers for tracking company vehicle usage, and track whereabouts of drivers. - Supervise pantry boys and other casual workers in day-to-day activities, maintain stocks of general office stationary, and coordinate with vendors, clients, and internal staff for smooth operations. - Take initiatives for cost-saving and improving efficiency wherever possible and participate in self-development and grooming sessions.
