Job Description

Job Overview:

The Executive Assistant (EA) to the Managing Director provides high-level administrative, operational, and strategic support to ensure efficient management of the MDs office. The role demands exceptional organizational skills, discretion, and the ability to manage multiple priorities while maintaining confidentiality and professionalism.

Key Responsibilities:

1. Administrative & Executive Support:

  • Manage the Managing Directors calendar, appointments, and travel schedules.
  • Prepare correspondence, reports, presentations, and other documentation.
  • Handle confidential and sensitive information with the utmost discretion.
  • Coordinate meetings, conferences, and events (internal and external).

2. Communication & Coordination:

  • Act as the first point of contact between the MD and internal/external stakeholders.
  • Draft professional emails, letters, and communication on behalf of the MD.
  • Maintain effective communication channels within departments.

3. Project & Business Support:

  • Assist in strategic projects, research, and business analysis as directed by the MD.
  • Track project timelines, deliverables, and follow-ups for key initiatives.
  • Prepare summaries, reports, and executive briefs for management review.

4. Office & Operational Management:

  • Liaise with department heads to ensure smooth workflow across departments.
  • Oversee day-to-day office coordination related to the MD’s directives.
  • Maintain documentation, filing systems, and records related to MD’s office.

5. Decision & Information Support:

  • Gather and analyze data to support business decisions.
  • Draft meeting minutes, action points, and ensure timely follow-ups.
  • Support in preparing presentations for board meetings and strategic reviews.

Skills & Qualifications:

  • Graduate / Post-Graduate (Business Administration preferred).
  • 2-4 years of experience as an Executive Assistant, preferably supporting C-level executives.
  • Excellent verbal and written communication skills.
  • Strong organizational, time management, and multitasking abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and business tools.
  • High level of professionalism, discretion, and emotional intelligence.
