Job Description

Key Responsibilities:

  1. Executive Support:

    • Manage the CEOs calendar, including scheduling meetings, appointments, and travel arrangements for both domestic and international, including liaison for country visa.
    • Draft, Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO.
    • Coordinate with other executive assistants of all stakeholders associated with KDEM and departments to ensure seamless communication and alignment.
    • Handle sensitive and confidential information with discretion.
    • Act as a thought partner to the CEO, providing insights and recommendations on strategic initiatives.
    • Assist in preparing board meetings, including creating agendas, meeting materials, and presentations and admin arrangements in close coordination with the IT department.
  2. Meeting Management and Coordination:

    • Organize and prepare for internal and external meetings as per office orders ensuring that agendas are set and materials are ready.
    • Take detailed minutes during meetings, distribute them promptly to all members attending the meeting and ensure all follow-up actions are clearly communicated and tracked.
    • Coordinate with internal teams to ensure the timely completion status update of action items and projects assigned during meetings.
  3. Client Interaction and Engagement:

    • Schedule and coordinate meetings with clients, partners, and other external stakeholders, ensuring the CEO is well-prepared.
    • Attend client meetings with the CEO as needed, taking notes and ensuring follow-up on action items.
    • Build and maintain relationships with key clients and partners to enhance the company’s reputation and drive business growth.
    • Draft and send communications to clients on behalf of the CEO, ensuring professionalism and consistency in messaging.
  4. Internal Team Coordination:

    • Act as a central point of contact between the CEO and internal teams to streamline communication and ensure alignment on strategic priorities.
    • Facilitate communication and collaboration among executive team members and other departments.
    • Coordinate internal team meetings, prepare agendas in coordination with the CEO and leads. and ensure clear communication of objectives and outcomes.
  5. Administrative Oversight:

    • Oversee the organisation of executive and leadership team meetings, including agenda setting, minute-taking, and follow-up on action items.
    • Ensure that the CEO is well-prepared for meetings, events, and public appearances.
    • Manage special projects and initiatives as assigned by the CEO.

Preferred Qualifications:

  • Experience in a fast-paced, dynamic industry such as technology or consulting.
  • Proven track record of managing strategic projects and initiatives.
  • Familiarity with corporate governance and board management.
  • Experience in client-facing roles or managing client relationships.
