Job Description

Administrative Support

    • Manage the Executive Directors calendar, scheduling meetings, appointments, and travel arrangements while ensuring optimal time management.
    • Prepare and organize documents, reports, and presentations for meetings and conferences.
    • Communication Management

      :
    • Serve as the primary point of contact for internal and external communications on behalf of the Executive Director.
    • Draft, review, and edit correspondence, reports, and other documents, ensuring clarity and professionalism.
    • Meeting Coordination

      :
    • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
    • Ensure that all necessary materials and resources are available for meetings and presentations.
    • Project Management

      :
    • Assist in managing special projects and initiatives as directed by the Executive Director, ensuring timely completion and adherence to objectives.
    • Conduct research and compile data to support decision-making processes.
    • Confidentiality and Discretion

      :
    • Handle sensitive information with confidentiality and discretion, maintaining the trust and integrity of the Executive Director’s office.
    • Ensure compliance with company policies and procedures regarding data protection and confidentiality.
    • Office Management

      :
    • Oversee the day-to-day operations of the Executive Director’s office, ensuring a well-organized and efficient work environment.
    • Manage office supplies and equipment, coordinating maintenance and procurement as needed.
    • Relationship Management

      :
    • Build and maintain positive relationships with stakeholders, including board members, senior management, and external partners.
    • Facilitate communication and collaboration between departments to support organizational goals.
    • Travel Coordination

      :
    • Arrange travel logistics for the Executive Director, including flights, accommodations, and transportation, ensuring cost-effectiveness and efficiency.
    • Prepare travel itineraries and ensure all necessary documentation is in order.
