Job Description

1. Executive Support

  • Manage calendars, schedule meetings, appointments, and travel plans.
  • Prioritize and coordinate daily activities for senior leadership.
  • Prepare agendas, minutes, and follow-up action items for meetings.
  • Handle confidential documents and sensitive information with discretion.

2. Communication & Coordination

  • Act as the primary point of contact between executives and internal/external stakeholders.
  • Draft, review, and manage emails, reports, presentations, and other business communications.
  • Coordinate with cross-functional teams (HR, Finance, Operations, etc.) for smooth workflow.
  • Handle incoming calls, queries, and correspondence on behalf of executives.

3. Operational & Administrative Efficiency

  • Organize files, maintain documentation, and ensure timely approvals.
  • Assist in preparing MIS reports, business presentations, and data summaries.
  • Track tasks, deadlines, and deliverables; ensure follow-ups are completed.
  • Manage expense reports, vendor payments, and basic budgeting activities.

4. Project & Task Management

  • Support executive-level projects, research, and data collection.
  • Monitor project timelines and coordinate stakeholder updates.
  • Assist in preparing strategic documents, SOPs, and proposals.

5. HR/Finance-Aligned Responsibilities (if required)

HR:

  • Assist with onboarding, interview coordination, and employee engagement activities.
  • Maintain employee records and support HR documentation needs.

Finance:

  • Support invoice processing, purchase orders, and expense management.
  • Assist with reconciliation, basic financial reporting, and budget tracking.

6. Professional Representation

  • Ensure professional communication and brand representation at all times.
  • Coordinate executive participation in events, reviews, and conferences.
