Job Description

The Executive Assistant will provide comprehensive administrative and secretarial support to the Chief Information Officer (CIO), ensuring efficient management of day-to-day activities, communication, and coordination. This role demands a high level of professionalism, confidentiality, and organizational excellence to maintain smooth operations within the CIOs office and across departments.

Responsibilities:

  • Responsible for upkeep of CIOs office
  • Responsible for overall secretarial support to the CIOs office Viz, minutes of meeting, fax, email, etc so as to ensure smooth flow of work.
  • To manage the appointment desk/calendar
  • Internal & external liaison, coordinating all necessary office as well as business transaction on behalf of the CIOs office
  • Act as an effective interface with business partners, prospective clients.
  • Ensure utmost confidentiality and integrity of operations
  • Manage data/department filing Document management
  • Manage CIOs telephone desk
  • Handle work scheduling, scrutinizing documents/paper
  • Responsible for Guest Hospitality
  • Organize and prepare for meetings
  • Responsible for travel management of CIO and research team
  • Coordinate with accounts for vouchers/payments
  • Stationary management for the research & sales team
  • Organizing conferences / presentations/ meetings
  • Coordination/follow-up with Departments/ Branches for timely execution of tasks.
  • Preparing Reports/ MIS/ Presentations.
  • Tour arrangements.
  • Renewal of memberships of professional bodies / associations and other administrative work
  • Other assignments given from time to time
  • Courier arrangements National / International Labeling / Company data required to be sent to different party/ Updating the records.
  • Fixing Appointments/ Dairying for Analysts/conference calls
  • Ordering Books / Magazine collection/ distribution/ documentation for the Department
  • Maintaining Contact Directory

Candidate Details

Qualifications & Experience:

  • Graduate in any discipline; certification in Secretarial Practice/Administration preferred.
  • 4–7 years of experience as an Executive Assistant, preferably supporting senior leadership (experience in BFSI/NBFC sector desirable).
  • Excellent organizational and communication skills.
  • Strong coordination and multitasking abilities.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
