Role Description

  • Manage the Director's calendar, appointments, meetings, and travel schedules.
  • Coordinate and prioritize daily tasks to ensure efficient time management.
  • Handle all incoming calls, emails, and correspondence on behalf of the Director.
  • Prepare, review, and organize documents, reports, presentations, and meeting minutes.
  • Maintain confidentiality of sensitive and strategic information.
  • Act as a point of contact between the Director and internal teams, clients, and external partners.
  • Ensure smooth communication and timely follow-ups across departments.
  • Draft professional emails, letters, and business communication on behalf of the Director.
  • Schedule, plan, and coordinate internal and external meetings.
  • Prepare agendas, briefing notes, and required documents for all meetings.
  • Arrange logistics for events, conferences, and business travel.
  • Assist the Director in executing projects, tracking progress, and maintaining project timelines.
  • Conduct basic research, data collection, and prepare summaries or reports as required.
  • Monitor deadlines, ensure tasks are completed, and flag any delays or issues.
  • Maintain organized files, records, and documentation.
  • Support decision-making by providing relevant data, follow-ups, and updates.
  • Help identify operational gaps and assist in process improvements.
  • Assist with personal appointments, bookings, and travel plans as directed.
  • Ensure smooth execution of both professional and limited personal tasks.

Qualifications

  • Proficiency in Executive Administrative Assistance and general Administrative Assistance duties
  • Experience in preparing and managing Expense Reports and supporting executive needs
  • Strong Communication skills, both written and verbal, to effectively interact with stakeholders
  • Excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment
  • Must be Tech Savvy person.
  • Prior experience in a similar role or familiarity with executive-level support is beneficial

Additional Details

  • Must visit factories twice a week as part of the role
