Job Description

Role - Executive Assistant Location : Bangalore Qualification : Graduate/Post Graduates with Any Specification Experience: Minimum 4-6 year of Administration/ Front Office/Hotel / Customer Service/ Travel Management Experience Roles & Responsibilities Activity Role summary The Admin role will be responsible for executing tasks assigned by Leadership Team. He/she will support Digital Hub Lead and rest of the team on queries, small team events, travel and concur if and where needed. Travel / Visa/ Tickets/ Stay arrangements Mapping Flight Options, Booking Tickets, Insurance, Sharing travel policy and other requirements related to Travel & Transportation arrangements Visa - Working with BCD to get the checklist, Preparing documents for Visa, documents collection follow up, Documents Check, Visa Status etc. Finding Hotels closer to Office or Meeting location. Checking for Hotel availability and Room Rates, booking, etc. Calendar management Managing Calendar, proactively checking Calendar, clearing conflicts, Scheduling Meetings. Coordinating with other AA's, LT for slots. Concur Updating Concur expenses & Sending the hard copies to CIRD and following up for payments Facilities and infrastructure (including connectivity/ IT) Coordinating for Meeting Room, Connectivity for Meetings, Conferences, Townhalls & Raising Laptop IT tickets for GBS Extended LT and other ad hoc requirements Payments and vendor management Looking out Vendors for Snacks, Lunch & Gifts, Coordinating for Quotations, Order & Payments made on time for internal team meetings for Events/Conferences/Meetings ID cards/ Access cards/ Visiting cards Coordinating for VAMS & MFAR Access cards for All the Visitors & New Leaders Transport and logistics for Visitors Sharing the Invitation, other requested documents for Visitors, checking for best hotel option, Keeping them informed about hotel options/ booking Hotel & Transport and coordination for confirmation & cab details for Visitors meeting LT & Team Town hall arrangements/Meetings/Conferences Blocking meeting room/communicating to block cafeteria & arrangements, Sending Invites & Snacks, Lunch Arrangements. other ad hoc requests if any for internal events , team events Data gathering /Follow-ups asked by LT follow up for requested details/Data, consolidate and share as in the requested format and share it with Extended LT Events Communicating with Vendors for Location, Quote, Food, Activities, Payments Etc. for Events conducted/managed by Extended LT & for big events Operations PR Creation for Events/Conference Service Invoices SECURITY NOTE: We at PERSOLKELLY India or our representatives, do not ask job seekers for fees, personal banking information, or payments through unofficial channels.
