About the Role

We are looking for a highly organized and agile Executive Assistant (EA) to support the Growth Team in driving execution across projects, initiatives, and strategic goals.

This is not a conventional administrative role the focus is on task ownership, follow-ups, project coordination, and ensuring accountability across teams. The ideal candidate will have experience managing complex workflows, driving cross-functional alignment, and applying Scrum or Agile principles to keep projects moving efficiently.

Experience in hospitality, air travel, or startup environments will be a strong advantage, reflecting adaptability, stakeholder management, and operational discipline.

Key Responsibilities

Project & Task Coordination

  • Track ongoing initiatives owned by the Growth Team and ensure timely progress through structured follow-ups.
  • Coordinate with multiple stakeholders to align priorities, identify blockers, and drive resolutions.
  • Maintain dashboards, trackers, and progress reports to provide visibility on project execution.
  • Facilitate short stand-ups, sprint reviews, or status syncs using Scrum Master practices to improve efficiency.

Leadership Support

  • Work closely with the reporting manager (Founder / Head of Growth) to translate strategic goals into actionable plans.
  • Attend key meetings, capture action items, and ensure timely follow-up and closure.
  • Prepare concise summaries, progress updates, and insights for leadership reporting.
  • Operational & Communication Excellence.
  • Support cross-team collaboration by maintaining clear communication channels.
  • Standardize processes and documentation for recurring growth initiatives.
  • Handle limited administrative tasks like scheduling high-priority meetings, travel coordination, or logistics as needed.

Qualifications & Skills

  • 24 years of experience as an Executive Assistant, Project Coordinator, or in a Scrum Master / Agile Operations role.
  • Background in hospitality, air travel, or startup environments is strongly preferred.
  • Certified Scrum Master (CSM) or proven experience applying Agile methodologies in a business or project context.
  • Excellent follow-up discipline and ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills with attention to detail.
  • Proficiency in project management and collaboration tools (Notion, Asana, ClickUp, Trello, Jira, or similar).
  • High ownership mindset with the ability to operate autonomously and maintain confidentiality.
