Key Responsibilities:

Team Leadership & Operations Control

  • Monitor and control daily activities of CSE team members, ensuring operations are completed within defined timelines as per the TAT sheet.
  • Ensure leave approvals within the team do not hamper daily activities as per the scheduled monthly plan.
  • Conduct weekly lab meetings in the absence of the Lab Coordinator.
  • Allocate and follow up on any additional tasks assigned by the respective manager.

Customer Communication & Support

  • Review and respond to all emails and WhatsApp messages promptly.
  • Discuss with customers and resolve any issues related to samples received or reports dispatched.
  • Share soft copies of reports to external customers as and when required.
  • Communicate (oral and email) customer queries or complaints to the Lab/Quality Manager and maintain proper records.

Coordination & Follow-Up

  • Follow up with Lab Coordinator/Sr. Analyst for draft result sheets as per TAT.
  • Coordinate with the Gujarat lab regarding samples sent or received.
  • Respond to all emails received on the CSE team’s official mail ID.

Reporting & Documentation

  • Submit monthly reports of the number of samples collected with relevant details to the Lab Manager.
  • Ensure proper documentation and filing for Sample Entry, Dispatch Reports, Test Requests, Invoices, Enquiries, and related documents by respective CSE team members.
  • Maintain a duplicate file of acknowledged test reports.
  • Ensure monthly files are handed over to the internal team by the 30th of every month for further documentation.
  • Maintain a client-wise record of documents sent to the head office, including tax invoice copies and courier receipts.
  • Maintain Consent Copy files.

Sales & Invoicing

  • Ensure reports and invoices are dispatched to clients before the due date as per the TAT sheet.
  • Prepare sales quotations as and when required.
  • Ensure invoices are prepared for every customer/sample as per the given format by respective team members.
  • Keep track of purchase orders (PO), maintain the PO file, and ensure that POs have been fully consumed.

Inventory & Resource Tracking

  • Keep a monthly track of letterhead usage and report wastage along with reasons to the Lab Manager.

System Updates

  • Update and monitor the LIMS (Laboratory Information Management System) report status regularly.

Qualifications & Experience:

  • Graduate in any discipline (BBA, B.Com, BA, or equivalent).
  • 3–5 years of experience in customer service, preferably with leadership or supervisory experience in industrial, manufacturing, or laboratory services.
  • Proficiency in MS Office, CRM tools, and LIMS software.

Skills:

  • Strong leadership and team management skills.
  • Excellent verbal and written communication (English, Hindi, and Marathi).
  • Problem-solving and conflict resolution skills.
  • High attention to detail, organizational skills, and ability to work under pressure.
