Job Description

Role & responsibilities

Contracts :

1.Contract Management:

  • Contract Drafting & Negotiation:

    Assist in drafting, reviewing, and finalizing contracts and agreements in alignment with organizational and legal requirements.
  • Compliance Assurance:

    Participate in price discussions, scope clarifications, and terms negotiations to achieve fair and optimal outcomes.
  • Compliance & Governance:

    Ensure adherence to regulatory requirements, company policy, and contractual obligations.
  • Claims & Amendments:

    Support resolution of claims, disputes, variations, and amendments in consultation with reporting authority, legal teams, and stakeholders.
  • Risk Monitoring:

    Identify and escalate potential contractual risks and deviations.

2.Vendor and Supplier Management:

  • Pre-Qualification & Bid Process:

    Assist in vendor evaluation, bid analysis, and preparation of comparative statements to support selection decisions.
  • Contract Finalization:

    Participate in discussions and negotiations to finalize contract terms related to pricing, SLAs, deliverables, and warranties.
  • Performance Monitoring:

    Track vendor compliance with contractual obligations and escalate deviations for corrective action.

3.Project Coordination:

  • Cross-Functional Interface:

    Collaborate with project managers, procurement, finance, and legal teams to ensure contract terms align with project execution plans.
  • Documentation & Change Control:

    Maintain change management logs and ensure proper documentation of approvals for variations and extensions.
  • Progress Tracking:

    Ensure contract milestones, deliverables, and timelines are monitored and reported.

  1. Procurement Policies & Compliance

    • Develop, implement and maintain procurement policies and procedures to ensure compliance with local laws, regulations, and internal governance.
    • Ensure procurement activity is conducted in line with applicable statutory / regulatory requirements and company policy.
    • Work with legal / audit teams to ensure contracts, vendor engagements and POs are compliant.

  1. Vendor & Service Provider Management

    • Identify and assess potential vendors and service providers (for materials, services, contractors) through RFQ/RFI/Bid processes.
    • Solicit bids, evaluate them, negotiate contracts and terms and award supplier/service provider engagements.
    • Manage existing vendor relationships: monitor performance, conduct periodic evaluations (quality, delivery, cost, compliance), negotiate renewals of quotations/contracts where required.
    • Maintain and continuously update a vendor/supplier database; ensure information is accurate, complete, and accessible (vendor master data).
  2. Cost Control & Expense Tracking

    • Develop and monitor procurement budgets, track expenses against budget and identify cost-saving opportunities (through strategic sourcing, volume consolidation, alternative sourcing, value engineering).
    • Analyse spend data, establish KPIs for savings, implement cost optimisation initiatives.
  3. Operational Procurement Execution

    • Prepare requisitions/NFA (Need For Approval) / RFQ / Purchase Orders (POs) in SAP (or relevant ERP).
    • Coordinate with accounts, site teams and project teams for follow-up on orders, goods/services delivery, invoice reconciliation, vendor payments.
    • Monitor lead-times, ensure timely availability of materials/services at site in line with project schedule.
    • Maintain procurement lifecycle records: from requisition through purchase order, delivery, inspection, payment and close-out.

Preferred candidate profile

Candidate from real estate/ Infrastructure will be preffered more.
