Job Description

The duties and responsibilities for this position include welcoming visitors, managing the reception area, and maintaining sign-in procedures while delivering exceptional customer service. You will be responsible for coordinating meeting room bookings, preparing spaces for client and internal meetings, and arranging venue set up for functions and events. Additionally, you will process facilities service requests, coordinate with vendors or team members, manage incoming/outgoing mail, deliveries, and courier services, as well as maintain office supply inventory and process ordering requests. You will assist with administrative tasks related to facilities operations and support the Facilities Manager with documentation, record keeping, and reporting. The required qualifications and experience for this role include a high school diploma or equivalent (Associate's degree preferred), along with 2+ years of experience in reception, office administration, or customer service roles. Proficiency in MS Office applications (Word, Excel, Outlook), strong verbal and written communication skills, detail-oriented with excellent organizational abilities, customer service mindset with a professional demeanor, ability to prioritize tasks in a fast-paced environment, self-discipline, and the ability to work independently are also necessary. Candidates with less experience may also be considered. Preferred skills for this position include previous experience in facilities coordination or property management, knowledge of building systems and maintenance procedures, experience with facilities management software, background in the electronics industry or corporate office environments, fluency in English and Hindi with knowledge of other Indian languages being advantageous, experience coordinating with vendors and service providers, strong problem-solving abilities, and attention to detail.
