Job Description

As an Executive Assistant at Siemens Limited, you will play a crucial role in providing comprehensive administrative, travel, and project management support to senior leadership. Your strong organizational skills, attention to detail, and proficiency in MS Office will be vital in efficiently supporting business operations and stakeholder coordination. Your key responsibilities will include: - Providing executive assistance to Senior Management members. - Demonstrating excellent communication skills - written/spoken, networking skills. - Managing calendars, time management, handling events, travel arrangements, and short project management. - Utilizing knowledge of SAP. - Proficiency in Microsoft Office for preparation of presentations and creating MoMs. - Managing senior management and HQ visits with detailed planning and coordination. - Handling stakeholder management for time slots, availability, and rescheduling. - Managing multiple tasks with flexibility, agility, and high execution speed. - Handling expense and travel management, including preparation of expense claims, domestic & international travel claims, and income tax exemption & declarations for SCM and CF R Head. - Arranging domestic and international travel, including flight bookings, visa processing, hotel reservations, car arrangements, airport transfers, and forex for international travel. - Ensuring travel arrangements are made within the timeframe to optimize costs. - Reconciling Amex statements and maintaining a travel tracker. - Keeping updated on company policies related to travel, HR, and compliance. - Managing calendars, scheduling internal and external meetings, developing agendas, distributing relevant materials in advance, and recording minutes of meetings. - Coordinating meeting logistics, including room setup, technology requirements, and catering. - Coordinating overseas visitors, issuing invitation letters, and assisting with hotel and car bookings. - Checking and approving all expense claims, domestic & international travel claims for direct reportees of SCM and CF R Head. - Coordinating events related to SCM and CF R Head. - Providing project management assistance, ensuring smooth execution of key initiatives. - Participating in core meetings, minute discussions, and ensuring topic follow-ups. - Supporting preparation of management meetings, including creating presentation slides with inputs from relevant stakeholders. - Maintaining accurate and organized records for official car and driver and arranging backup when required. - Demonstrating proficiency in MS Office (Excel, PowerPoint, Word, Outlook, etc.) for data management, reporting, and presentations. Qualifications required for this role include: - Previous experience in an Executive Assistant, Administrative, or similar role, preferably in a multinational or corporate environment. - Proficiency in calendar management, travel coordination, and expense processing. - Ability to interact with senior leadership and cross-functional teams. - Strong communication skills to interact with internal and external stakeholders. - Capability to handle multiple priorities efficiently with a proactive approach to problem-solving. - Ability to handle sensitive information. - Strong proficiency in MS Office (Excel, Word, PowerPoint, Outlook, etc.).,
