Operations Manager, Cold Email & Client Success

Role overview

Own client relationships and end-to-end cold email operations. You will serve as the point of contact for clients, lead campaigns from strategy to execution, and keep the team moving on time and to standard. Expertise in Clay.com and Instantly.ai is required.

Key responsibilities

Client success

• Serve as the primary contact, manage communications, and drive outcomes.
• Anticipate issues, propose fixes with clear rationale, and maintain high satisfaction.
• Translate performance into actionable recommendations clients can use.

Cold email campaigns

• Plan, launch, and optimize campaigns across segments and offers.
• Use Clay for data enrichment and hyper-personalization.
• Leverage Instantly.ai to scale while maintaining deliverability and inbox placement.
• Run A/B tests, analyze results, and consistently hit appointment targets.

Team leadership

• Coordinate VAs, copywriters, and technical staff, ensuring timely delivery.
• Set clear standards, review outputs, and coach for continuous improvement.
• Build and refine SOPs for repeatable, efficient execution.

Operations and reporting

• Identify bottlenecks early and implement process fixes.
• Maintain compliance with platform and industry best practices.
• Deliver weekly KPI reports with insights and next steps, not just metrics.

Qualifications

• 1+ years in client management, digital marketing, or a related role.
• Proven success managing cold email programs with measurable results.
• Deep, hands-on experience with Clay.com and Instantly.ai.
• Strong analytical skills and the ability to diagnose issues quickly.
• Bonus: familiarity with CRMs and integration tools.
