Job Description

Tendering Executive Job Responsibilities

  • Regularly track and identify government tenders, RFPs, and e-procurement notices related to high-rise, commercial, and land development projects.
  • Study tender documents, eligibility criteria, scope of work, BOQ, technical specifications, and contract conditions.
  • Evaluate potential opportunities and prepare feasibility/fitment reports for management approval.

2. Documentation & Submission

  • Coordinate preparation of pre-qualification (PQ) documents, technical bids, and financial bids in line with government norms.
  • Ensure accurate preparation of supporting documents (licenses, certifications, financial statements, company profiles, project experience).
  • Manage online tender submission through government e-portals (e-procurement, GEM, CPP, etc.) as per deadlines.
  • Maintain tender document registers, trackers, and submission records.

3. Cost Estimation & BOQ Preparation

  • Work with QS, estimation, and engineering teams to prepare cost analysis and rate build-ups.
  • Prepare BOQs, rate analysis, and ensure all technical & commercial aspects are covered.
  • Compare vendor/subcontractor quotations, negotiate terms, and finalize competitive pricing.

4. Coordination & Communication

  • Liaise with project, procurement, finance, and legal departments to collect required inputs for tender preparation.
  • Coordinate with consultants, vendors, and subcontractors for clarifications, rates, and supporting documents.
  • Follow up with government departments for corrigendum, clarifications, and updates on submitted tenders.

5. Compliance & Legal Requirements

  • Ensure compliance with all government regulations, statutory requirements, and contract clauses.
  • Maintain up-to-date knowledge of procurement policies, contract laws, and government bidding procedures.
  • Verify validity of company certifications, registrations (GST, PF, ESI, PAN, ISO, MSME, etc.).

6. Post-Tender Activities

  • Track tender evaluation results, technical/financial opening schedules, and submission of additional clarifications if required.
  • Attend pre-bid/technical meetings, site visits, and coordinate responses to queries.
  • Support in contract negotiations, award documentation, and handover to project execution team.

7. Data Management & Reporting

  • Maintain tender database, submission tracker, and bid status reports for management.
  • Analyze won/lost tenders, prepare reports, and provide recommendations for improving bid success rate.
  • Keep management updated on new government projects, market trends, and competitor activities.
