Job Description

Role Overview

We are seeking a highly organized and proactive professional who can efficiently manage travel desk operations, administrative responsibilities, and executive assistance. The ideal candidate should be detail-oriented, have excellent communication skills, and the ability to multitask across different functions while maintaining confidentiality and professionalism.

Key Responsibilities1. Travel Desk Management

  • Handle end-to-end domestic and international travel arrangements (flights, hotels, cabs, visa, forex).
  • Negotiate with vendors and agencies to optimize travel costs.
  • Maintain travel records and ensure adherence to company travel policies.
  • Provide timely support for last-minute travel requirements and itinerary changes.

2. Administration

  • Oversee office facilities, vendor management, housekeeping, and office supplies.
  • Ensure smooth functioning of day-to-day office operations.
  • Manage asset inventory, AMCs, and procurement of office requirements.
  • Coordinate events, meetings, and office-level activities.
  • Handle compliance with internal policies and external statutory requirements.

3. Executive Assistant (EA)

  • Act as the first point of contact for the reporting manager, managing calendars, scheduling meetings, and coordinating appointments.
  • Prepare reports, presentations, and other documentation as required.
  • Handle confidential information with integrity and discretion.
  • Coordinate with internal and external stakeholders on behalf of the reporting manager.
  • Track deadlines, action points, and ensure timely follow-ups.

Required Skills & Competencies

  • Strong organizational and multitasking abilities.
  • Excellent communication & interpersonal skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Knowledge of travel booking platforms and vendor negotiations.
  • Ability to maintain confidentiality and handle sensitive information.
  • Problem-solving mindset with attention to detail.

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Hospitality, or related field.
  • 3–6 years of experience in Travel Desk, Administration, or Executive Assistant roles.
  • Experience in handling senior management and multi-functional responsibilities preferred.
