About the Role:

Key Responsibilities:

Office Infrastructure & Facility Management

  • Ensure daily upkeep and maintenance of office infrastructure and facilities.
  • Supervise housekeeping and security staff to ensure workplace hygiene and safety.
  • Manage employee transportation services and vendor coordination.
  • Handle employee travel requirements, including hotel bookings, flight tickets, and other logistics.
  • Liaise with visa agencies for employee visa applications and renewals.
  • Monitor and maintain adequate stock of office supplies and consumables.
  • Coordinate and support company events, meetings, and offsite programs.
  • Assist with new office projects and special administrative initiatives.

Reporting & Documentation

  • Prepare and maintain regular reports on office operations for management review.
  • Maintain the Fixed Assets Register for office and IT equipment; ensure annual verification and management sign-off.
  • Review housekeeping and security reports and provide performance feedback.
  • Act as a backup team member during staff absences.

Process, Compliance & Improvement

  • Introduce process improvements, automation, and controls to enhance efficiency.
  • Support corporate initiatives, transformation projects, and system implementations.
  • Ensure office compliance with local statutory regulations and corporate safety guidelines.
  • Maintain documentation related to audits, safety checks, and compliance requirements.

Vendor Management

  • Manage local vendors for housekeeping, security, transport, travel, and maintenance services.
  • Handle vendor evaluation, negotiation, and contract renewals.
  • Monitor vendor performance and ensure timely delivery of services.

Required Qualifications & Experience:

  • Graduate in any discipline (preferred: degree/diploma in Administration or Facilities Management).
  • 3–6 years of experience

    in Administration, Facilities, or Office Management.
  • Strong experience in

    local vendor handling and facility operations

    .
  • Good knowledge of compliance and safety regulations.
  • Proficient in

    MS Office (Excel, Word, PowerPoint)

    and report preparation.
