Key Responsibilities

  • Organize and manage internal documents, digital records, and filing systems.
  • Maintain schedules, set reminders, and manage daily calendar activities for key personnel.
  • Coordinate with vendors and service providers for office logistics, supplies, and maintenance.
  • Assist in HR tasks such as attendance tracking and onboarding coordination.
  • Draft professional emails, maintain communication records, and ensure timely follow-ups.
  • Serve as the liaison between departments, vendors, collaborators, and clients.
  • Schedule meetings (internal & external), prepare minutes, and circulate actionable points.
  • Assist in preparing reports, presentations, invoices, and contracts.
  • Maintain documentation related to events, including guest lists, payment logs, and inventories.
  • Track expenses and support the accounts team with data entry and reporting.
  • Assist with backstage operations, including guest handling, artist coordination, and vendor management.
  • Prepare event kits, dossiers, and required materials.
  • Coordinate travel and accommodation arrangements for staff, guests, or artists as needed.
