1. Client & Front Desk Management
Greet clients warmly upon arrival and offer hospitality.
Manage the client waiting area, ensuring comfort and professionalism.
Schedule and confirm client appointments, including making confirmation calls for the next working day.
Handle and communicate the centre's Cancellation Policy to clients.
Coordinate with in-centre clients for smooth session flow.
Schedule and coordinate Parent Calls and other client-therapist communication as required.
Process cash and online payments from clients and maintain accurate transaction records.
Update the in-centre payment sheet daily and coordinate with the Accounts team for deposits.
Track online payments and follow up with clients for payment confirmations.
Maintain daily and long-term scheduling by updating the therapy room calendar and allotting rooms to therapists.
Check therapy rooms regularly to ensure all equipment is functional and ready for sessions.
Ensure centre cleanliness and readiness of all areas.
Coordinate and support all in-centre activities to ensure smooth day-to-day functioning.
Maintain Master Sheets, Muster Roll (attendance), and all in-centre documentation.
Handle courier and document dispatches as per operational needs
Check and replenish assessment protocols for therapists weekly.
Handle ad-hoc tasks such as printing, photocopying, or courier dispatches as required.
Maintain updated records of calendar tasks, therapy schedules, and activity lists.
Support Activity Week and other therapy-related events in coordination with therapists.
Coordinate festival preparations and centre dcor as required.
Conduct monthly checks for groceries (milk, coffee, water), stationery (paper, pens, files), medicine stock, and office equipment.
Assist in preparing and ordering monthly stock (stationery, groceries, water jars, etc.) by the 25th or 26th of each month.
Participate in weekly team meetings and coordinate with relevant authorities to address operational or client grievances.
Bachelor's degree in Administration, Management, or a related field.
Prior experience in front desk, office administration, or customer service preferred.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Proficient in MS Office (Word, Excel, Calendar Management).
Professional appearance and demeanor.
Ability to handle client queries and grievances with tact and efficiency.
