Urgent Hiring : Admin Executive

This role requires frequent travel to remote project sites and physically demanding tasks.

Candidates must be comfortable with extensive fieldwork.

Due to operational and logistical considerations, male candidates may be preferred."

Job Summary:

We are looking for a passionate and energetic Admin Executive to join our team. The ideal candidate will be responsible for managing day-to-day administrative and facility-related operations, including office supplies, housekeeping, transport coordination, vendor management, safety compliance, and documentation.

The candidate must possess strong coordination and communication skills, the ability to handle pressure, and must own a 2-wheeler for commuting across locations or for official tasks.

Key Responsibilities:

  • Office Administration:
  • Manage and monitor inventory of office supplies and ensure timely procurement.
  • Maintain records of procurement, usage, and stock levels.
  • Coordinate with vendors for procurement and cost-effective purchasing.
  • Facility Management:
  • Supervise daily housekeeping activities to ensure cleanliness and hygiene.
  • Oversee canteen facilities, ensuring food quality, hygiene, and staff coordination.
  • Ensure maintenance of office equipment, furniture, and utilities.
  • Coordinate with AMC providers and service vendors for timely maintenance.
  • Transportation & Support Services:
  • Manage staff transportation, logistics, and coordination of vehicles.
  • Liaise with support staff (drivers, housekeeping, etc.) for daily operational needs.
  • Vendor Management:
  • Identify, evaluate, and negotiate with vendors for various services.
  • Ensure service delivery as per SLAs and maintain vendor records.
  • Build good vendor relationships and manage renewals/terminations.
  • Compliance & Documentation:
  • Ensure compliance with health, safety, fire, and statutory regulations.
  • Maintain proper records of AMCs, SLAs, licenses, and compliance documents.
  • Assist in audits and ensure facility readiness.

Requirements:

  • Minimum 2 years of experience in administration/facility management.
  • Must own a two-wheeler with a valid driving license.
  • Strong communication and interpersonal skills.
  • Good negotiation skills and vendor management experience.
  • Ability to multitask and work under pressure.
  • Energetic, proactive, and problem-solving mindset.
  • Basic knowledge of MS Office and documentation.

Preferred Attributes:

  • Exposure to managing multi-location offices (if applicable).
  • Knowledge of safety and compliance regulations.
  • Experience handling facility audits is a plus.
