Job Description

Job Summary

We are looking for a responsible and detail-oriented Admin-cum-Office Assistant - Female to manage day-to-day administrative tasks, support office operations, and assist with documentation related to CNC machine spares. The ideal candidate should be organized, good with communication, and comfortable handling basic inventory, billing, and customer coordination.

Key ResponsibilitiesAdministrative & Office Support

  • Handle daily office operations, filing, and record keeping.
  • Manage incoming calls, emails, and customer inquiries.
  • Prepare invoices, delivery challans, quotations, and purchase orders.
  • Maintain customer and supplier databases.

Inventory & Store Support

  • Assist in maintaining stock records of CNC spares and tools.
  • Coordinate with the store team for material inward/outward.
  • Update inventory systems/software with accurate stock details.
  • Track purchase requirements and follow up with suppliers.

Sales & Customer Coordination

  • Attend customer walk-ins and provide product information.
  • Follow up with customers for orders, payments, and delivery updates.
  • Assist the sales team in preparing quotations and technical documents (if required).

Accounts & Documentation

  • Support basic accounts tasks such as billing, receipts, and petty cash management.
  • Maintain proper documentation for GST invoices, vendor bills, and office expenses.
  • Work closely with the accounts team for monthly reports.

Office Management

  • Ensure office supplies are stocked and equipment is maintained.
  • Coordinate courier services and logistics for sending/receiving spares.
  • Support management with any ad-hoc office tasks.

Skills & Requirements

  • Kannada, Telugu & Tamil - Communication Language must.

  • Minimum qualification: HSC / Diploma / Graduate (any discipline).
  • Basic knowledge of MS Office (Excel, Word) is essential.
  • Experience in an industrial/CNC spare parts environment is an advantage.
  • Good communication and customer service skills.
  • Ability to multitask and work independently.
  • Knowledge of billing or inventory software preferred (not mandatory).

Work Experience

  • 0 – 2 years of experience in office administration or similar roles preferred. (Freshers encouraged)
