Job Description

As a key member of our team, your primary focus will be on ensuring a safe and comfortable work environment for all employees and visitors. This involves meticulous planning and execution of preparations for meetings, conferences, and VIP visits. Your responsibilities will extend to overseeing areas such as the mailroom, front office, and housekeeping to maintain high standards throughout the facility. Your mobility and adaptability will be essential as you conduct daily check-ins in the front office and lobby, promptly addressing any issues that arise to uphold the facility's operational efficiency. Your proactive approach in identifying and resolving challenges will play a crucial role in enhancing our overall performance. In addition to overseeing daily operations, you will liaise with vendors to review services and address any service-related issues effectively. Your insights and suggestions will be valued in guiding the team towards optimal facility management practices. Key Duties and Responsibilities: - Lead the JLL Site Workplace team in delivering Facility Management Services, ensuring adherence to commitments and budgets. - Manage team resources, performance, and administrative functions effectively. - Develop and align site operational and management models with global and regional standards. - Monitor and manage annual budgets, forecasts, and financial performance in coordination with the financial calendar. - Conduct training sessions on safety rules, quality policies, and procedures for team members. - Collaborate with Sourcing and Procurement for outsourced scopes and contracts, focusing on sourcing strategies. - Maintain comprehensive records of site activities and facility management operations for analysis and reporting purposes. - Analyze call-outs trends and implement strategic initiatives to minimize disruptions. - Address and resolve issues, feedback, escalations, and incidents in a timely manner. - Prepare and submit management reports as per schedule and client requirements. - Monitor expense tracking, oversee invoice management, and assist in annual budget preparation. - Formulate and update policies, procedures, and the Operations Manual to ensure operational efficiency. - Support and execute additional global and regional Workplace tasks as assigned by the Operations team.
