Role Overview
We are looking for a
proactive Virtual Assistant
who can
manage the team, coordinate workflows, guide team members on technical tasks, and assist the founder directly with tasks and operations
. The ideal candidate will have digital marketing experience, problem-solving mindset, strong organizational skills, and the ability to take ownership of multiple responsibilities.
Key Responsibilities
- Team Coordination & Management:
- Manage daily team tasks, track progress, and ensure deadlines are met.
- Facilitate smooth communication between team members.
- Conduct briefings or check-ins to align team with goals.
- Technical Guidance:
- Understand digital marketing processes to guide team members on campaigns, media buying, ads, landing pages, automation, and reporting.
- Provide solutions to workflow or technical challenges faced by the team.
- Founder/Task Support:
- Assist the founder with daily tasks, scheduling, communication, and follow-ups.
- Support in preparing reports, presentations, research, and other operational work.
- Prioritize tasks and ensure high-value work is completed efficiently.
- Administrative & Operational Support:
- Schedule and organize meetings, create agendas, and document action points.
- Maintain SOPs, dashboards, and project documentation.
- Follow up with team members to ensure timely completion of tasks.
- Problem Solving & Process Improvement:
- Identify bottlenecks in team operations and suggest improvements.
- Ensure tasks are completed with quality and efficiency.
- Act as the point of contact for escalations and problem-solving.
- Client Communication Support (Optional):
- Assist in client updates and coordination under guidance.
Skills & Requirements
- 1+ year experience in digital marketing or working in a digital marketing agency.
- Strong organizational and coordination skills.
- Problem-solving mindset and ability to guide team members technically.
- Comfortable managing founder’s tasks and priorities efficiently.
- Excellent written and verbal communication.
- Tech-savvy – comfortable with Google Workspace, task management tools (Asana/Notion/Sheets), and communication platforms (WhatsApp/Discord).
- Proactive, reliable, and able to work independently.
