Job Description

Role & responsibilities

1. Tender / Rate Enquiries Management:

  • Identify, evaluate, and track tender opportunities from various sources, including online platforms, field requests, public notices, and institutional intimation.
  • Interpret tender requirements and collaborate with various departments (e.g., finance, legal, marketing) to gather the necessary information for submission.
  • Ensure that all tenders are submitted within the stipulated deadlines and follow up on submission statuses.

  • Handling field /distributor queries / negiotiations related to Tender submitted

2. Documentation and Compliance:

  • Prepare and compile all required documentation for tender submissions, including technical, commercial, and legal aspects.
  • Ensure compliance with the Notice Inviting Tender (NIT) and internal quality standards for all submissions.
  • Maintain accurate records of all tender documents, both online and offline, for future reference.
  • Distribute relevant documentation to the field teams as requested.
  • Documents MIS chart maintenance with Validity

3. Coordination and Communication:

  • Act as the key point of contact for clients and stakeholders regarding tender-related queries.
  • Liaise with internal departments (e.g., finance, legal, marketing, regulatory) to collect and consolidate information required for tender responses.
  • Coordinate and attend pre-bid meetings, and plan site visits when necessary.

4. Risk Management:

  • Identify potential risks associated with tender submissions and work to develop strategies to mitigate these risks.
  • Review and analyze tender documents to ensure all risks are addressed and mitigated during the bidding process.

5. Market and Competitor Analysis:

  • Conduct market research to identify trends, pricing strategies, and competitor activities relevant to tender submissions.
  • Prepare Management Information System (MIS) reports for all tenders quoted, matching L1 to L4 criteria, and maintain a record of price comparisons for similar tenders.
  • Provide insights and actionable recommendations based on market and competitor analysis to enhance bid success rates.
  • Division/ location wise product identification / selection

6. Post-Tender Activities:

  • Follow up on submitted tenders to obtain feedback and results.
  • Perform post-tender analysis to assess strengths, weaknesses, and areas of improvement for future submissions.
  • Facilitate contract handover to the project implementation team after a successful tender award.
