Job Description Tender Executive Position Title: Tender Executive Department: Sales Support / Tendering Location: Chhani ( Vadodara) Reports To: GM Sales Employment Type: Full-Time Position Overview The Tender Executive will be responsible for overseeing and executing end-to-end tendering activities for the organization. This includes tender identification, bid preparation, documentation management, and timely submission of both online and offline tenders. The incumbent will ensure compliance with all tender requirements, support the sales team with accurate and timely submissions, and contribute to enhancing the company's success in competitive bidding environments. Key Responsibilities Tender Identification & Evaluation Conduct daily searches for relevant tenders across various government and private platforms, including GeM, e-Procure, n-Procure, and other applicable portals. Evaluate tender eligibility, scope, and terms to determine suitability for participation. Maintain an updated repository of active, upcoming, and completed tenders. Bid Preparation & Submission Prepare comprehensive and compliant tender submissions, including technical and financial proposals, in accordance with client specifications and company standards. Coordinate with internal departments to collect, verify, and compile required documents. Ensure error-free submission of tenders, RFQs, and related documents within stipulated timelines. Manage offline and online tender submissions, including participation in e-tendering and online bidding processes. Sales Support & Internal Coordination Provide timely sales support by preparing offers, quotations, and proposals within the designated 24-hour turnaround time. Liaise with the sales team and management for pricing approvals, document finalization, and strategic inputs. Follow-up & Tracking Monitor tender progress, clarifications, amendments, and post-submission communications. Maintain accurate tracking of EMD payments, submissions, deadlines, and tender outcomes. Execute and monitor GeM bidding processes to ensure effective participation and order closures. Documentation & Compliance Ensure proper filing and documentation of all tender-related materials for audit and compliance purposes. Review, verify, and organize all technical, financial, and statutory documents required for submissions. Maintain high standards of compliance with tender conditions and internal policies. Key Competencies / KRAs Timely and error-free tender submissions Efficient tender search and evaluation Offer/quotation submission within 24 hours Proper EMD tracking and documentation Effective support to the sales team Successful participation in GeM bidding and tender closures Qualifications & Skills Bachelor’s degree in Business Administration, Commerce, Engineering, or a related field. The role includes strategic planning, monitoring store workflows, ensuring smooth inward/outward movement, and maintaining high standards of accuracy, safety, and documentation. The Store Manager will supervise the store team, coordinate with cross-functional departments, and ensure efficient operation of the entire warehousing function. Key Responsibilities 1. Inventory & Warehouse Operations Oversee the complete warehouse operations including receiving, storage, issuance, dispatch, and stock control. Ensure timely and accurate preparation, verification, and approval of GRNs (Goods Receipt Notes) . Ensure proper stacking, storage, FIFO/FEFO adherence, and housekeeping across the warehouse. Monitor daily stock levels, conduct frequent cycle counts, and support annual physical audits. Manage rejection handling processes, including documentation, segregation, and return to suppliers. 2. Documentation & ERP Management Supervise all ERP entries (Tally / SAP / similar systems) related to stock movement and ensure data accuracy.
