Job Description

As an Executive for the Tender, you will play a crucial role in overseeing end-to-end tendering process,ensuring that bids are submitted on time and meet requirements of potential clients. This positionrequires a combination of project management, communication, technical knowledge and strategicplanning to successfully navigate the tendering process and secure new business opportunities for thecompany in Government Sector.

Primary Responsibilities

  • Tender Identification: Research and identify potential tender opportunities that align with thecompany's strategic objectives and capabilities. Monitor tender portals, government websites, andother relevant sources for tender notifications.
  • Tender Evaluation: Analyze tender documents thoroughly to understand the requirements, scopeof work, timelines, and evaluation criteria. Collaborate with cross-functional teams to evaluate theorganization's capability to meet tender requirements.
  • Eye-to-detail: Thoroughly read through the tender documents and have an impeccable eye-to-detail in terms of data and requirements and accordingly communicate it to the relevant stakeholders within the organization.
  • Bid Planning: Develop a comprehensive bid plan and timeline for each tender opportunity.
  • Coordinate with various departments, including sales, finance, legal, and technical teams, togather the necessary information and ensure a smooth bid process.
  • Proposal Preparation: Prepare well-structured and compelling tender proposals in line with clientspecifications and company guidelines. Ensure that all relevant information is included, and theproposal is error-free, compliant, and submitted within the specified deadline.
  • Bid Pricing: Collaborate with the finance team to determine competitive and profitable pricingstrategies for tenders while considering the organization's cost structure and market conditions.
  • Compliance and Documentation: Ensure that all tender documents, certifications, and otherrequired paperwork are accurate, up-to-date, and comply with the tendering authority'sregulations and guidelines.
  • Relationship Management: Foster and maintain positive relationships with tendering authorities,partners, and subcontractors to enhance the organization's credibility and increase the likelihoodof successful tender bids.
  • Post-Tender Analysis: Conduct post-tender debriefing sessions with internal teams to review thetendering process, identify areas for improvement, and capture lessons learned for future bids.
  • Market Intelligence: Stay abreast of industry trends, competitor activities, and changes in theregulatory environment that could impact tender opportunities. Use this information to strategizeand improve the organization's tendering process
  • Reporting: Prepare regular reports and updates on tender activities, including success rates,revenue generated through tenders, and key performance indicators (KPIs) related to the tendermanagement process.

Qualifications and Skills:

  • Bachelor's degree in engineering Civil or Mechanical or Electrical, or related field (Master'sdegree preferred).
  • Proven experience or interest in tender management, bid preparation, or related roles within the[industry/sector].
  • Strong project management skills with the ability to prioritize tasks, manage deadlines, andcoordinate cross-functional teams.
  • Excellent written and verbal communication skills, with the ability to articulate complex technicalinformation clearly and persuasively.
  • Sound understanding of legal and commercial aspects of tendering, including contract negotiationand risk management.
  • Proficiency in MS Office suite and other relevant software applications.
  • Ability to work under pressure and adapt to changing priorities in a fast-paced environment.
  • Ability to manage deadlines of tender submissions and adhere to it.
  • Certification in project management or procurement (e.g., PMP, CIPS) is an added advantage
