Who Were Looking For
The role will provide essential support to the Global Tax Department of a multinational company from the India Shared Services Center. The role focuses on a variety of administrative and coordination tasks to ensure efficient tax operations. Tax-specific expertise is not required; however, exceptional organizational skills, attention to detail, and strong communication abilities are critical.

Scope of the Role:
  • Direct Reports: This is an individual contributor role with no direct reports
Key Responsibilities
  • Track and coordinate the generation and collection of tax exemption certificates, certificates of residency, and similar documents.
  • Update transfer pricing agreements, facilitate the collection of necessary signatures, and maintain accurate records.
  • Organize and file scanned documents and other tax-related records in accordance with company procedures.
  • Coordinate Statements of Work (SOWs) and initiate Purchase Requisition (PREQ) processes for the Tax Department.
  • Obtain approvals for vendor invoices and assist with related documentation and follow-ups.
  • Assist with tracking professional fee accruals and monitor actuals against departmental budgets, providing regular updates and reports to the Tax Department.
  • Provide necessary support for tax payments to the cash applications team, ensuring accurate and timely processing.
  • Assist with tax reporting, including gathering information, preparing documentation, and supporting compliance activities as directed.
  • Coordinate schedules for meetings, deadlines, and deliverables across the Tax Department and related teams.
  • Monitor and follow up on outstanding action items to ensure timely completion.
  • Support document retrieval for audits or internal reviews.
  • Liaise effectively with US-based tax team members, internal departments, and external vendors to ensure timely completion of tasks.
  • Support the Tax Department with additional administrative duties as assigned.
  • Maintain confidentiality and ensure compliance with company policies and data protection standards.
Experience, Education, and Certifications:
  • Bachelor s degree or equivalent work experience in administration or a related field.
  • 2+ years of experience in an administrative or support role, preferably in a shared services or multinational environment.
Additional Requirements:
  • Excellent organizational, time management, and prioritization skills.
  • Strong verbal and written communication skills in English.
  • High attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and document management systems.
  • Ability to work independently and collaboratively in a cross-functional, global team environment.
  • Experience supporting finance, legal, or tax teams is a plus.
  • Familiarity with document control and workflow management tools.
  • Must be able to accommodate overlap with US business hours as required for team meetings and coordination
