Job Description

Job Title: Stores & Logistics Executive / Manager(Responsible for Inventory, Packing, Dispatches, Courier Management, Import & Export Operations)

Key Responsibilities:

  • Oversee complete stores and end-to-end logistics operations (receiving, storage, packing, dispatches, courier coordination, import & export documentation and compliance).
  • Ensure 100% inventory accuracy and zero discrepancies through systematic stock management and regular audits.
  • Maintain optimum stock levels (min-max) to avoid stock-outs or overstocking while supporting sales/production requirements.
  • Receive inward goods (local purchases, imports, customer returns, inter-branch transfers):
    • Verify quantities, batch numbers, expiry dates (if applicable), and physical condition against purchase orders, packing lists, and invoices.
    • Inspect for damages, defects, or discrepancies and initiate GRN (Goods Receipt Note) only after quality clearance.
    • Coordinate with purchase and quality teams in case of rejections or shortages.
  • Accurately update stock records in ERP/WMS system in real-time.
  • Organize and maintain systematic storage:
    • Implement FEFO/FIFO/LIFO as per product requirement.
    • Allocate proper bin/shelf/rack locations and ensure clear labeling of all storage areas.
    • Maintain cleanliness, proper ventilation, temperature/humidity control (especially for sensitive items).
    • Ensure safe stacking and adherence to weight limits to prevent accidents or damage.
  • Conduct daily cycle counts and quarterly/half-yearly full physical stock verification; reconcile variances and report root causes.
  • Generate stock reports (aging, slow-moving, non-moving, near-expiry, etc.) and highlight risks to management.

Packing & Packaging Responsibilities:

  • Plan and prepare adequate packing materials (cartons, bubble wrap, pallets, straps, corner protectors, silica gel, edge guards, etc.) based on daily dispatch plan.
  • Select appropriate packaging type (standard, fragile, hazardous, temperature-controlled, export-worthy) as per product nature and customer requirement.
  • Ensure correct labeling:
    • Product labels, barcodes, batch/serial numbers.
    • Shipping marks, Fragile,This Side Up,Handle with Care, etc.
    • Hazardous material labels (if applicable).
    • Export labels (country of origin, HS code, net/gross weight, dimensions).
  • Perform pre-packing inspection of every item for defects, damage, functionality, and completeness of accessories.
  • Pack items securely to withstand multiple handling and long transit (use void fillers, corner protection, double boxing for high-value items).
  • Weigh and measure every package accurately and update details in system.
  • Prepare packing lists, commercial invoices, and other documents for domestic and international shipments.

Dispatch & Courier Management:

  • Prepare daily dispatch plan basis sales orders, production schedule, and customer priorities.
  • Coordinate with sales/customer service for any special instructions (urgent delivery, specific courier, time slots).
  • Book couriers (DHL, FedEx, Blue Dart, Delhivery, DTDC, surface transport, air freight, sea freight, etc.) at optimum cost.
  • Generate airway bills, lorry receipts, bills of lading, and e-way bills.
  • Ensure on-time handover to courier/transport with proper acknowledgment.
  • Track shipments in real-time and proactively update customers on status/delays.
  • Handle proof-of-delivery (POD) collection and filing.
  • Resolve delivery failures, return-to-origin (RTO), and lost-in-transit cases.

Import & Export Responsibilities:

  • Coordinate with CHA (Custom House Agents), freight forwarders, and shipping lines for import/export shipments.
  • Prepare and verify export documentation:
    • Commercial invoice, packing list, certificate of origin, SDF, shipping bill, ARE-1 (if applicable), IEC-based documents.
    • Ensure compliance with customs regulations, Incoterms, and destination country requirements.
  • Arrange pre-shipment inspection, fumigation, phytosanitary certificates, health certificates wherever required.
  • Track import containers/courier parcels and ensure timely customs clearance and delivery to warehouse.
  • Maintain records for duty drawbacks, DEPB, GST refunds, and advance authorizations.

General Responsibilities:

  • Ensure full compliance with safety, health, and environmental regulations in the warehouse.
  • Train and supervise packing staff, loaders, and helpers.
  • Continuously improve processes to reduce packing standards, reduce damages/RTO, and optimize logistics costs.
  • Maintain all statutory records and facilitate internal/external audits.
  • Any other task assigned by management related to stores and logistics.
