Job Description

Role Overview

The Senior Executive Facility Management will be responsible for overseeing day-to-day facility operations, vendor & manpower management, service delivery, compliance, and client coordination to ensure smooth functioning of assigned sites. The role involves driving service excellence, SLA adherence, and operational cost efficiency while maintaining high customer satisfaction.

Key Responsibilities

Operational Management

  1. Monitor and manage daily facility operations including housekeeping, security, pantry, technical services, waste management, and maintenance.
  2. Ensure all services are delivered as per agreed SLA / SOP and escalate deviations proactively.
  3. Conduct regular site inspections, audits, and checklists to maintain quality and safety standards.

       4.Handle breakdowns, complaints, and service requests through proper tracking and closure.

Client & Stakeholder Management

1.Act as a single point of contact (SPOC) for client interaction at site level.

2.Attend review meetings, share MIS/reports, and ensure prompt resolution of client concerns.

3.Build strong relationships with client representatives to ensure retention and satisfaction.

Manpower & Vendor Coordination

  1. Monitor staff attendance, deployment, grooming, training, and performance at site.
  2. Coordinate with HR/vendor partners for hiring, replacement, payroll inputs, and statutory compliance.
  3. Verify vendor service quality, AMC schedules, and adherence to contract terms.

Budget & Inventory Control

  1. Track consumption of consumables and monthly operating cost budget.
  2. Maintain stock registers, indent requests, and cost-saving initiatives.
  3. Validate vendor bills, overtime sheets, and other operational expenses.

Compliance, Safety & Documentation

  1. Ensure statutory compliance (PF, ESI, labour laws) for all deployed manpower.
  2. Conduct safety drills, toolbox talks, and maintain incident/accident records.
  3. Maintain updated records – attendance, asset register, checklist, AMC tracker, logbooks, etc.

Reporting & Analytics

  1. Prepare and submit daily/weekly/monthly MIS reports to management and client.
  2. Track SLA/KPI performance and initiate corrective/preventive action plans.
  3. Support internal audits, client audits, and ISO compliance requirements.

Work Conditions

  1. 6-day working / as per client site requirement
  2. On-call support during emergencies
  3. Travel to multiple sites (if multi-site responsibility)
