Senior Executive/ Team Leader - Inbound operations

Role Overview

Distinct Destinations is seeking a full-time Senior Executive/Team Leader based in Gurugram. As a Senior Executive/ Team Leader in Travel Operations, you will play a pivotal role in overseeing and optimizing various aspects of travel operations. Your responsibilities will encompass itinerary preparation, costing, voucher preparation, and collaborative work with cross-functional teams to ensure a seamless flow of operations.

Key Responsibilities

• Handle inbound travel queries and prepare detailed, customized itineraries for international clients.
  
• Prepare accurate costing and quotations to maximize conversion of inquiries into confirmed business.
  
• Coordinate with hotels, transporters, guides, and activity partners to ensure smooth operations.
  
• Issue travel documents including vouchers, invoices, and itinerary kits.
  
• Reconfirm services proactively before the clients arrival and throughout the trip.
  
• Monitor on-ground client movement and provide timely assistance when required.
  
• Maintain strong relationships with vendors and negotiate competitive rates.
  
• Manage amendments, cancellations, and reissuances efficiently.
  
• Communicate with clients and agents professionally via email and phone.
  
• Maintain accurate records of queries, bookings, and operational files.
  
• Meet and greet clients when required to ensure service satisfaction.
  
• Coordinate with the finance team for supplier payments and credit follow-ups.
  
• Gather and review client feedback for service improvement.
  
• Stay updated on destinations, products, hotels, attractions, and travel trends.

Required Skills & Competencies

• Strong destination knowledge (Indian Subcontinent)
  
• Excellent communication and email writing skills
  
• Proficiency in handling itineraries, costing, and travel operations
  
• Strong negotiation and vendor management skills
  
• Good command of MS Office (Excel, Word, Outlook)
  
• Ability to multitask and work under pressure
  
• Attention to detail and strong problem-solving skills
  
• Experience in a DMC or inbound tourism company preferred
  
• Ability to manage client expectations professionally
  
• Good interpersonal skills and teamwork orientation
