Senior Document Controller

Role Objective:

Lead MASIN's end-to-end digital transformation by digitising all organizational documents and data (finance, contracts, legal, arbitration files, HR, operations), structuring them into secure digital repositories, and implementing an enterprise-grade AI system that enables natural-language querying for leadership, finance, legal, and operations teams.The objective is to ensure that the CEO and leadership can ask any question in natural language and the AI system will respond using real company data securely and accurately.

Key Responsibilities:

Digital Document Transformation

• Develop and execute a roadmap to digitise 100% of MASIN documentation
• Finance & Accounts (Tally, invoices, P&L, receivables, vendor docs)
• Client Files, Arbitration Case Data, Contracts, Expert Reports
• HR, Admin, Business Development, Legal Documentation
• Design document classification structures and metadata strategy
• Oversee scanning, OCR conversion, indexing, tagging & storage
• Implement workflows to ensure all future documents are digitally stored

AI Knowledge Platform Development

• Identify and deploy AI platform(s) for MASIN (LLM based enterprise solutions)
• Integrate AI with digitised repositories & structured databases
• Build conversational AI so leadership can ask questions such as:
• Show revenue by region for last 5 years
• What arbitration cases are pending in ICC above USD 50M.
• Which clients owe payment above 90 days.
• Summarize key risks in Contract ABC

Systems & Technology Integration

Integrate AI with:

1. Tally(finance & MIS)
2. Document repositories / DMS
3. Email archives if enabled
4. CRM / BD tools
5. Evaluate and deploy secure enterprise infrastructure (cloud/on-prem)

Skills & Competencies:

• Strong understanding of AI, LLMs, RPA & cloud architecture
• Deep knowledge of document digitisation methodologies
• Strong project management and execution capability
• Excellent stakeholder communication and leadership presence
• Ability to work in fast-paced, confidential, high-impact environment
• Use of AI platform deployment
• Experience in consulting, legal, tech, or construction industry preferred
